About the Role

As the Executive Assistant to the CEO, you will play a pivotal role in driving our company's success. You will provide high-level administrative support while contributing to the strategic growth and efficiency of our organization.

Key Responsibilities

  • Strategic Partner: Act as a trusted confidant to our CEO, understanding their goals, vision, and priorities to ensure their time is optimized for strategic decision-making.
  • Personal Assistant: Provide personal support to the executive as needed, including handling personal appointments, errands, and family-related tasks.
  • Calendar Mastery: Manage the CEO's complex calendar, including scheduling meetings, prioritizing commitments, and proactively resolving scheduling conflicts.
  • Gatekeeper Extraordinaire: Screen and manage communication, including emails and phone calls, ensuring the CEO remains focused on high-priority tasks.
  • Travel Maestro: Coordinate all travel arrangements, including flights, accommodations, and itineraries, guaranteeing seamless business trips.
  • Meeting Maven: Prepare materials for meetings, attend when necessary, and capture action items and follow-up tasks.
  • Data Guru: Assist in research, data analysis, and report generation to support the CEO in making informed decisions.
  • Project Partner: Collaborate on special projects, both internal and external, taking the lead on some projects and ensuring their successful completion.
  • Confidentiality Guardian: Handle sensitive information with the utmost discretion and professionalism.
  • Office Management: Assist with office organization
Requirements:

Experience and Qualifications

  • High school diploma or equivalent; additional education or certifications in office management, or business administration is a plus.
  • 5+ years proven experience as an executive assistant, ideally supporting C-suite executives.
  • Exceptional organizational skills, with the ability to manage multiple tasks and priorities simultaneously.
  • Outstanding written and verbal communication skills.
  • Tech-savvy, with proficiency in MS Office and the ability to adapt to new software quickly.
  • Resourceful problem solver with a proactive and can-do attitude.
  • Impeccable attention to detail and commitment to maintaining confidentiality.
  • Proficiency in office productivity tools, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management systems.
