As a Virtual Assistant, you will have hands-on experience in developing the virtual and/or hybrid event experience. You will be expected to maintain integrity and consistency in the event, know and understand event production, and speak through the eyes of the client. As the bearer and driver of all client and project information, your main responsibility will be to set up teams for success across all departments. Specific responsibilities follow.

RESPONSIBILITIES

Client Management:

  • Maintaining and fostering positive client relationships throughout the entire team
  • Sharing client/project information + challenges to colleagues (and joy) to foster a mutually supportive environment
  • Understanding and keeping up with the client’s business and industry
  • Managing client expectations on budget, timelines, project progress, etc

Budget Management:

  • Developing budgets, working with creative, production and technical teams to adequately scope for the project
  • Providing weekly updates on hours/budget within each project, pulling weekly reports on timekeeping program
  • Creating and managing purchase orders (PO’s)/deal memos for vendors
  • Approving vendor/contractor invoices against budgeted line items

Production:

  • Provide insight on production aspects of complex virtual, hybrid and experiential events
  • Lead production teams through the virtual event execution process
  • Managing production logistics and deliverables, including crew travel/accommodations (travel/load in & out/rehearsals/show) and room allocations, based on the client approved scope
  • Attending site inspections and producing live productions when applicable and under stringent COVID-19 safety parameters

QUALIFICATIONS

  • Expert organizational, documentation, and communication skills (written, verbal, visual)
  • Extensive understanding of project management, creative development, team management.
  • Outstanding computer skills in Google docs, Apple applications
  • Flexible, dependable, detail orientated, innovative, motivated and enthusiastic about delivering exceptional events
  • Ability to work evenings, weekends and holidays as needed
  • Portfolio of past work highly recommended
  • Excellent organizational, analytical and planning
  • Comfort working with individuals in all levels of the client organization, including strong skills interacting with senior-level management
  • Strong problem-solving skills, including the ability to think creatively to contribute ideas that will drive value in a dynamic, client-centered environment
  • You have a great sense of humor and have the mindset, attitude and approach that actively seeks out change, rather than waiting to adapt to change

This job operates currently in a remote capacity.

POSITION TYPE/WORK ENVIRONMENT

Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:00 a.m. to 6 p.m.
